Although we know that during meetings with Full Circle PR, everyone is sure to have an engaging and productive time, the following are some expert tips from our communications crew. These are designed to help you make your next meeting successful, effective and even fun.
Set Objectives.
Work with your agency to create the right agenda, determining the concrete goals of the meeting. Take the pulse of your organization’s expectations ahead of time and use that to your advantage.
Review the Agenda Beforehand.
The guide for your meeting should include a description of the objectives and a list of the topics to be covered. Define how much time you and your team have to devote to a meeting.
Creating Active Participants.
If you give all contributors something to prepare for the meeting, that meeting will take on a new significance to each member. Read-ahead items will also boost collaborative spirit and creative juices.
Control the Setting.
Make sure there is comfortable seating and that you can hear all members of the agency. Work with the communications team to seat the strongest speaker furthest from the group.
Divide and Conquer.
Review and divvy up agenda items with attending team members. But, don’t discuss key issues during “off” time, as in determining this year’s marketing budget at the water fountain.
It’s a Two-Way Street.
If your PR agency suggests something be pursued, don’t just say “okay;” ask questions such as the purpose and rationale.
Exchange Ideas.
That is the end goal of all meetings, so make sure your agency is going to tell the group something new that will get everyone conversing. You can help by offering some background and insight into topics covered.
Entertain!
PR is all about grabbing attention – so encourage your team to do something engaging while reviewing items, such as opening with an icebreaker topic, taking a moment to stretch together or placing fun things around the space. (Just avoid noisy items.)
Follow Up is Number One.
Do not leave a subject without consensus on next steps, deadline and responsibilities. Build in time to recap accomplishments with the group.
Most of all, work in tandem with your agency to expand on publicity and marketing dialogue.
